Privacy policy

Effective date

The King Sejong Institute Foundation (the "Foundation") and its program operators have established this privacy policy under the Personal Information Protection Act of Korea to protect the personal information of users of the Teacher Growth LMS and to handle related concerns promptly.

1. Personal information we collect

We collect only the minimum information needed to run the program.

  • Application: name, email, country and city, King Sejong Institute, native language, qualifications and experience, supporting documents
  • Learning: progress, quiz answers, assignment submissions, live session attendance, inquiries and posts, survey responses
  • Growth voucher: requested items, address and contact details needed for delivery
  • Collected automatically: access logs, browser information, and cookies to keep you signed in

2. How we use personal information

  • Recruiting and selecting participants and setting tracks
  • Running courses and managing progress and completion
  • Mentoring, assignment feedback, and answering inquiries
  • Issuing certificates and providing growth vouchers
  • Sending learning reminders and notices
  • Analyzing program outcomes and reporting results

3. How long we keep it

We keep personal information for the period needed for result reporting and follow-up after the program ends on December 10, 2026, and then destroy it or return it to the Foundation without delay. Application materials from applicants who are not selected are destroyed after selection is complete. Information that must be kept by law is kept for the required period.

4. Sharing with third parties

The Foundation does not share personal information with third parties unless you consent or it is required by law. To deliver or issue growth voucher items, we may share the minimum information needed (name, delivery address, contact details) with the delivery or issuing provider.

5. Outsourced processing and transfers abroad

We outsource the following work to provide the service. Providers outside Korea process and store personal information sent over the network while you use the LMS (transfer abroad). They keep it until the outsourcing contract ends or the purpose is achieved, and then destroy it without delay. If you do not want your information transferred abroad, you can refuse through Help and inquiries, but you will not be able to use the LMS. We will update this policy if the providers or details change.

  • Course operation and mentoring: Honam University Industry-Academic Cooperation Foundation (Korea)
  • Database hosting: Supabase (stored in Seoul, Korea) — all LMS usage information
  • Server hosting (application and AI servers): Railway (servers in Singapore, transfer abroad) — usage information while requests are processed, access logs
  • Web hosting and AI request relay (AI Gateway): Vercel (United States, transfer abroad) — access logs (IP and browser details), questions to the AI learning assistant and parts of submissions needed for AI grading drafts
  • File storage (Cloudflare R2): Cloudflare (United States, transfer abroad) — evidence, assignment and course material files
  • Email delivery: Resend (United States, transfer abroad) — name, email address, email content
  • Video classes: Zoom (United States, transfer abroad) — name, email address, class attendance
  • AI learning assistant and AI grading drafts: OpenAI (United States, sent through Vercel AI Gateway, transfer abroad) — questions and parts of submissions

6. Your rights

You can ask to access, correct, delete, or stop the processing of your personal information at any time. Update it on your account pages or send a request through Help and inquiries, and we will handle it without delay.

7. How we destroy personal information

When the retention period ends or the purpose is achieved, we delete personal information so it cannot be recovered and shred paper documents. We report the results to the Foundation.

8. How we protect personal information

  • Role-based access control and access log retention
  • Encryption in transit and encrypted password storage
  • Two-factor authentication for administrator accounts
  • Regular security checks

9. Using the AI learning assistant

What you type into the AI learning assistant, and parts of submissions used to draft assignment feedback, may be sent to an AI service provider to generate responses. Please do not enter other people's personal information or sensitive details.

11. Changes to this policy

If we change this policy, we will post a notice at least 7 days before the change takes effect.
